As our team continues to grow, we are looking for an experienced HR Operations & Administration Specialist to support our HR operations in Cyprus. The role will focus on personnel administration, compliance, leave management, immigration support, HR-related financial administration, and close cooperation with Legal, Finance, and People teams.

The successful candidate should be highly organised, detail-oriented, and confident working with HR documentation and local employment requirements.

Key Responsibilities:

HR Administration & Compliance

  • Prepare, process, maintain, and archive HR documentation in accordance with Cyprus legislation.

  • Maintain employee personnel files, ensuring all required documentation is present and properly stored.

  • Ensure timely registration of employee hires, changes in employment conditions, and terminations in relevant government systems; monitor compliance with procedures and deadlines.

  • Prepare employment certificates, reference letters, and other HR-related documents upon employee request.

  • Conduct regular internal audits of HR documentation to ensure data accuracy and completeness.

Immigration Administration

  • Prepare, review, and collect the complete package of documents for work visa (BCS) applications and prolongations and ensure their timely handover to the external immigration specialist.

  • Provide administrative support for obtaining and extending Temporary Protection status for employees.

Benefits & Medical Insurance Administration (HR Financial Administration)

  • Communicate with the insurance provider: enroll new employees in the medical insurance program and process cancellations upon termination.

  • Regularly review, update, and monitor the list of insured employees.

  • Review and reconcile insurance invoices to ensure they match agreed rates, contractual terms, and the actual number of insured personnel.

  • Initiate and coordinate timely payments for insurance and other HR services through internal payment systems.

Leave Management

  • Maintain accurate records of annual leave, sick leave, and other types of employee absences.

  • Advise employees on leave-related queries and maintain up-to-date data in internal systems.

Job requirements

Requirements:

  • 2+ years of proven experience in HR Administration, HR Operations, or a similar administrative role.

  • Familiarity with Cyprus labor legislation and local immigration processes (BCS work visas, Temporary Protection) is a strong advantage (or a solid background in HR admin with a high readiness to learn).

  • Hands-on experience in preparing employment documents and maintaining personnel files with strict confidentiality.

  • Experience with benefits administration, particularly managing medical insurance policies and communicating with providers.

  • Proficiency in using HRIS/HR management systems for leave tracking and employee data management.

  • Exceptional attention to detail, high accuracy in document processing, and strong organizational skills.

  • Ability to effectively communicate and coordinate with external partners and internal team (immigration agents, insurance brokers, legal team etc.).

  • Proactive mindset with the ability to handle operational tasks independently and prioritize deadlines.

Language

  • Fluent English. 

  • Proficiency in Ukrainian or Greek language would be a plus
